Quick Step Guide - Managing Notes

Searching for Note Content

  • You can search for Note Content using the 'Notes' tab on any Report, Advanced Filter or Export Filter window.
  • 'Note Comments' allows you to search up to four strings of text at the same time, requiring all to match or any one to match the note.
  • A user’s Login Name is used in the 'Created By' field to filter for notes entered by a specific user.
  • Alert and Secured status of the notes can also be used to find these types of special notes.

Manage Notes

  1. Click the Manage Notes button at the top of the detail record in Manage Property Records.
  2. Click New.
  3. Select a Category from the drop-down and add the appropriate note.
  4. Click Save or Save+. ‘Save’ will associate the Note with the current parcel alone while the ‘Save+’ option will allow the note to be applied to the current parcel and multiple others without individual edits.

Add a Note Category

  1. Select Edit | Adjust System Preferences | System Config | Note Categories.
  2. Click New.
  3. Select an appropriate Code from the drop-down list in ‘Manage Notes’.
  4. Add a Description and select if a year is required for the category being added.
  5. Click OK to save and close ‘System Preferences. ‘

Delete a Note Category

  1. Select Edit | Adjust System Preferences | System Config | Note Categories.
  2. Highlight the Note Code record to delete.
  3. Click on the Delete button at the top of the screen, or the minus sign in the toolbar in the bottom-left corner of the grid.
    1. NOTE: A Note Category can not be deleted if there are any notes in the system assigned to that Note Category.
